Getting paid

Invoices for your clients

Issue a numbered invoice for every payment automatically, add your tax details, and view, send or download invoices from each booking.

butterbook.ing issues your clients a numbered invoice for each payment on a booking, which they can view online or download as a PDF. Invoicing is switched on from the start, so you don't have to make invoices yourself.

Set up your invoices

Go to Settings › Invoices. The page is called Invoice Settings.

  • Create invoices: switch invoicing on or off.
  • Invoice Number Prefix: text that goes before each number, up to 10 characters. The default is "INV-", which gives INV-0001, INV-0002 and so on. The page shows what your next number will be.
  • Business Identifiers: up to four details your country expects on an invoice, such as a GST/HST number, VAT number or company number. Select Add identifier and enter a label and a value for each.
  • Tax in your prices and Tax Rates: see Tax below.
  • Footer Note: a line printed at the bottom of every invoice, up to 300 characters, such as "Payment received with thanks."

Select Save.

When invoices are created

While Create invoices is on, an invoice is created for every payment on a booking: full payments, deposits, balances and cancellation fees you keep. Payments made before you switched invoicing on don't get one.

Numbers run in an unbroken sequence. Changing the prefix doesn't restart the count.

Once issued, an invoice never changes. If you refund a payment, a separate credit note is issued with the next number, saying which invoice it credits.

Send, view and download invoices

Open a booking. Its Invoices card lists every invoice and credit note for that booking, and whether each has been sent. From each one's actions menu you can:

  • View the invoice as the client sees it
  • Download it as a PDF
  • Send it to the client by email, or Resend it

Invoices are emailed to clients automatically after each payment, unless you've turned off the Invoices email in Settings › Notifications. See Choose which emails are sent.

Tax

If you're registered to charge tax, add it under Tax Rates: up to four rates, each with a name and a percentage, such as GST at 5%. Your rates are shown on your booking page and printed on every invoice.

Under Tax in your prices, choose:

  • Included in my prices: your prices already contain tax. Clients pay your price, and see how much of it is tax.
  • Added on top: tax is added to your prices at checkout. Clients see the price, the tax and the total.

Each booking keeps the rates that applied when it was made, so changing your rates doesn't change bookings you already have.
