Bookings and clients
Book a client yourself
Create a booking for a client who called, emailed or asked in person, and choose whether they're emailed a link to pay.
Use Add Booking when a client asks you for an appointment directly instead of using your booking page, or to rebook someone after you've cancelled on them. Open it from Add Booking in the sidebar, or select Add booking on your dashboard. There are four steps.
1. Customer
Search your customers by name, email or phone, and select one.
For someone new, select Add new customer, enter their Full name, Email address and, if you like, Phone number, then select Add customer & continue. If that email already belongs to one of your customers, the booking goes on their existing profile instead.
2. Service
Choose the service. Only active services are listed.
3. Date & time
Pick a date, then one of the open times. You can only choose times your booking page would offer, so your weekly hours and date overrides, your other bookings, travel time and your Google Calendar are all taken into account.
To book a repeating series, turn on Repeat this booking. See Let clients book recurring sessions.
4. Confirm
Check the summary. Under When you create this booking, the page tells you what will happen, which depends on the service's payment mode:
| Payment mode | What happens |
|---|---|
| Free | The booking is confirmed straight away. |
| Postpay | The booking is confirmed straight away. You collect payment afterwards and mark it paid from the booking. |
| Prepay | The client is emailed a link to pay. The time is held for them and the booking confirms as soon as they pay. |
| Deposit | The client is emailed a link to pay the deposit. The time is held until they pay, and you collect the rest later from the booking. |
To take payment yourself instead, tick Don't email a payment link — I'll collect payment myself. The booking is confirmed straight away and stays unpaid until you mark it paid. If Stripe isn't connected, no payment link can be sent, so the booking is always confirmed straight away.
On this step you can also turn on This booking is for someone else and enter the attendee's details, and add Internal notes. Only you see internal notes; they're never shown to the client or included in any email.
Select Create booking.
Good to know
- Bookings you create don't need approval, even for a service that has Require manual approval for bookings turned on.
- A client can't use a package session on a booking you create. They use package sessions when they book through your booking page.
